ReachOut is a secure, compliant SaaS dashboard enabling multi-tenant marketing operations. It allows users to orchestrate bulk campaigns across Outgoing SMTP E-mail and Meta WhatsApp Cloud structures concurrently while logging analytical statuses in real-time.

Platform Overview

ReachOut serves as an enterprise-grade communications hub designed for isolated customer data workflows. By dividing databases, list uploads, templates repositories, and campaign tasks, the platform ensures secure operations:

  • Tenant Isolation: Every registered organization operates inside its own isolated database container namespace.
  • Multi-Channel Routing: Direct campaigns using outbound SMTP relays or Meta WhatsApp Cloud channels individually or combined.
  • Granular Configuration: Outgoing relays, webhooks, and billing settings can be adjusted per tenant with zero global conflicts.

Quickstart Guide

Follow these basic tasks to get your tenant organization activated:

Register Tenant

Pick a seat plan tier, choose your billing term, and pay securely.

Connect Channels

Enter SMTP server settings or paste approved Meta WhatsApp Cloud credentials.

Drag and drop CSV or XLSX list databases directly into your dashboard.

Configure Outbound SMTP

Unlike shared delivery systems where sender reputational pollution is high, ReachOut isolates SMTP routing keys. Head over to Settings -> SMTP Integration to configure your parameters.

Sync Meta Cloud WhatsApp APIs

Deploy pre-approved template marketing campaigns directly. ReachOut syncs templates with Meta Cloud structures. Input your Meta Developer Access Token, Phone Number ID, and WABA Business Account ID in settings to activate.

WhatsApp Cloud API Messaging Limit Levels

Meta enforces messaging limits based on verification status and delivery phone number quality score:

Tier 1: Starter Limit Level 1

Allows business-initiated conversations with 1,000 unique customers per rolling 24-hour period. Standard for unverified/new numbers.

Tier 2: Mid-Scale Limit Level 2

Allows business-initiated conversations with 10,000 unique customers per rolling 24-hour period. Automatically unlocked as volume increases.

Tier 3: High-Volume Limit Level 3

Allows business-initiated conversations with 100,000 unique customers per rolling 24-hour period.

Tier 4: Enterprise Limit Level 4

Allows business-initiated conversations with Unlimited unique customers per rolling 24-hour period. Requires high quality score rating.

Template Creation

Build dynamic message layouts tailored to your channels:

  • Email Design Workspace: Write custom, responsive HTML layouts directly or utilize the drag-and-drop Visual Editor to assemble responsive columns, images, and CTA components.
  • WhatsApp Meta Integration: Map template parameters (header, body text, buttons) to Meta Cloud schemas. WhatsApp templates support variable merges such as {{1}}, which map to dynamic B2B attributes at runtime.

Campaign Execution

Broadcast templates to datasets or subscriber lists. ReachOut supports instant execution and advanced background scheduling:

  • Instant Dispatch: Dispatches campaign payloads immediately to targeted lists using active SMTP connections or WhatsApp webhooks.
  • Scheduled Campaigns: Configure dispatches for future timestamps. The scheduler script runs as a background process to process queued items as they hit their designated release times.

Dual Campaigns

Maximize communication outreach by executing multi-channel campaign flows. In a Dual Campaign setup, ReachOut routes your message via Email and WhatsApp concurrently. Analytical outcomes (delivery, pending tasks, errors) are captured and displayed side-by-side in separate detail columns.

Logs Collection & Analytics

Track the operational efficiency and integrity of your dispatches in real-time:

  • Campaign Logs: Captures sending statuses, unique open rates, transmission counts, and detailed error messages from outgoing channels.
  • System Email Logs: Tracks internal platform dispatches (e.g. system warnings, registrations, security alerts, invoices) for platform monitoring.

Datasets Creation

Datasets offer dynamic audience management. Load customized files containing custom attributes (names, unique tags, phone numbers, custom columns) using Excel spreadsheets or JSON files. Datasets let you map variable placeholders inside template designs dynamically at dispatch.

Modify and scale tenant capabilities instantly through the integrated Addons Marketplace:

  • Templates & Campaigns: Increase limits for email/WhatsApp template storage and monthly broadcast capacities.
  • Contacts & Subscribers: Purchase incremental quota blocks to store additional subscriber profiles.
  • Datasets: Extend the number of custom databases segment sheets you can upload concurrently.
  • Verified B2B Leads: Purchase geo-targeted, validated lists of pre-qualified business leads injected directly into your subscriber base.
  • Email Setup requests: Outsource branded channel deployments or SMTP configurations to system administrators.

Support & Tickets

ReachOut includes an integrated Support Ticketing System. Tenants can generate tickets for billing adjustments, account configurations, or technical bugs. Superadmins can review issues, exchange replies, and update ticket states directly within the system admin dashboard.

Audit Logs

Ensure operational security and compliance. System audit logs track all configuration actions, including log-in attempts, profile overrides, settings changes, and API mappings, storing exact action tags, operator identities, timestamps, and origin IP addresses.

Messaging Limits Overview

Different email SMTP providers and messaging platforms impose specific volume limits to prevent spam and ensure compliance. Understanding these limits is critical to choosing the correct setup.

SMTP Provider Limits

Standard providers like Gmail and Outlook enforce strict daily limits (e.g. 500/day for Gmail). For mass campaigns, professional bulk services like SendGrid or Amazon SES are required.
